Timecards

Timecards are a thing of the past. No more clocking in and clocking out using an outdated old punch clock. No more wasted hours calculating employee hours by hand. No more cheating by having coworkers clock in for others. No more misplaced timecards or resetting the clock for daylight savings time. The new time tracking of the 21st Century is computerized and on the web. Current software uses authentication to log in so employees will have a more difficult time cheating. You can even set up biometrics (i.e. thumbprint scanners and id card swipes) for log in. On the back-end, the software calculates all the hours for you and presents everything in an easy-to-read report that you can submit to your accounting department. Or even better, your accounting department can export the information from the time tracking software to their accounting software (i.e. Quickbooks or Peachtree).

Many companies are now offering a web based time clock software. Employees can use this software to track their time and breaks anywhere they have a computer. Employees on the road can clock in without being in the office if they have internet access and managers can verify and approve their employee’s timesheets when they are in a meeting or at a conference. This saves hassle and time in the long run for your company.

For companies that rely on billable hours for their income, timesheet software can be a godsend. Clocking in and clocking out on specific projects can be tracked minute-by-minute or second by second (if need-be) and the data is stored in a database where reports can be generated by week or by month or by year to show how much time was spent on a specific client or on a specific job. Invoices can also be generated to bill clients for time worked on a project. If you miss a punch-in, you can go into the manual entry screen and type in the time you started and the time you stopped. This will then be stored in the database as a manual entry and be included on your invoice or report.

If you wanted to know trends of how your employees are working, reports can be generated based on hours worked over a period of time and you can calculate how much money is being spent on specific employees or on specific days. If overtime is a problem, you can find out whether you need to hire additional workers for busy days or stagger your hours to compensate for peak hours.

Employees can review their time slips for errors before submitting to their supervisors. Supervisors can review their employee’s punch in and punch out times. They can monitor how many times an employee used a manual entry as opposed to an automated clock-in.

Time sheet software must adhere to the strict accounting standards of the Department of Defense and must be DCAA Compliant. This means that the software must be password protected, must have an audit trail, definable employee rates, a multi-layered time sheet approval process, and many more standards.
